How do I compare wedding vendor proposals fairly?

Two proposals with similar totals can include very different work. Rebuild both into the same categories before deciding which offers better value.

Highlight every assumption in a proposal. If a detail matters to your decision, ask for it in writing before you sign.

Give every vendor the same brief

Quotes cannot be compared when the guest count, hours, location or requested services differ. Send each vendor the same date, venue, attendance estimate and description of what you need.

Ask for an itemized response. A single total conceals whether staffing, travel, setup, rentals, taxes or service charges are included. Clear detail is part of good service, not an awkward request.

Create one comparison format

Move each quote into shared columns: core service, labor, equipment, delivery, setup, breakdown, travel, fees, tax and optional additions. Mark every blank as either not included or not yet confirmed.

Read the terms beside the price

Compare payment schedules, cancellation and rescheduling terms, overtime, substitutions and what happens if the assigned person cannot work. A lower total can carry more risk or require more work from you.
